The 10-Point RTU Replacement Bid Checklist

The scope and equipment checks that catch missing items before you sign a replacement contract. Print it, or run through it on your next set of bids.

1. 1. Unit selection matches the existing installation

   Tonnage, voltage, gas/electric configuration, and footprint verified against the unit being replaced — not assumed.

2. 2. Curb and curb adapter are in the scope

   A mismatched curb discovered on crane day is the most expensive surprise in a replacement project.

3. 3. Crane, rigging, and old-unit disposal included

   Confirm who pays for the crane, street permits, and legal disposal of the old equipment and refrigerant.

4. 4. Efficiency ratings compared on operating cost

   SEER2/IEER differences between bids translate to real utility dollars over a 15–20 year life. Compare them.

5. 5. Warranty terms spelled out

   Parts vs. labor, compressor and heat exchanger terms, and who registers the warranty — get it in writing.

6. 6. Controls and thermostat integration defined

   Confirm the new unit connects to your existing controls or thermostat — and who does that work.

7. 7. Electrical and gas reconnection scope defined

   Disconnects, whips, gas piping modifications — missing here means a change order later.

8. 8. Code-required items priced in

   Smoke detectors, economizers, permits, and current code requirements included — not excluded in fine print.

9. 9. Startup, testing, and documentation included

   Factory startup, test & balance, and closeout documentation should be part of the price.

10. 10. Bids are line-itemized and comparable

    If you can't compare the bids line by line, you can't know which one is actually the best value.
